Presenter Instructions

1.Presenter Deadlines

Contributed papers accepted for the Conference will be presented either as oral or poster presentations. Both oral and poster presentations are vital to the success of the Conference and are expected to be of similarly high technical quality.

February 29 – Presenter Deadline to Confirm Invitation Acceptance

(Notifications will be sent on February 12. Log into ScholarOne account to view and accept invitation.)

April 5 - Registration Deadline for All Presenters
May 13- Presentation Upload Deadline
  (Required for Virtual Poster Presenters; Optional for In-Person Presenters)

NOTE: “Invitation to Upload” emails will be sent to all presenters in early April which contain your unique link to upload your presentation. Any questions about your digest or presentation should be sent to authorsupport@intermag.org.

2.Oral Presentations
  • All oral contributed presenters will be expected to present onsite in Rio de Janeiro.
  • The presenting author or representative must be registered at the Conference and available to provide details and answer questions during the Conference.
  • The contributed presentation format is a 12-minute talk by the registered author, followed by a 3-minute discussion period.
  • The invited presentation format is a 25-minute talk by the registered author, followed by a 5-minute discussion.
  • RECOMMENDED METHOD TO UPLOAD PRESENTATION: Speakers must bring their presentation on a USB flash drive and upload the presentation with the audio visual technicians on the session room laptop BEFORE the session starts. This is easier and faster than connecting your own laptop.
  • If the speaker decides to bring their own laptop, it should be powered on and ready to connect to the projector before the previous speaker finishes their presentation. Keep in mind that there is no extra time allotted to troubleshoot connections or reboot.
  • HDMI connections to the LCD projector will be supplied. If you have a VGA connection, bring your own VGA-HDMI adaptor. Mac OS users must make sure they have the correct adaptor, and that video mirroring is activated.
  • Slide presentations should be formatted for 16:9 aspect ratio.
  • All oral presenters will have the option to submit presentation slides (upload deadline is May 13) for inclusion in the digital Conference Resource Center. Prerecorded presentations will not be collected.
  • Check the section 5 below for the Presentation Upload Guidelines.
3.Poster Presentations
  • Poster presenters will have the option to present onsite in Rio de Janeiro or, if they cannot attend in person, to upload an electronic poster to the digital Conference Resource Center.
  • Posters should consist of well-prepared visual materials about the work.
  • The presenting author or representative must be registered at the Conference and available to provide details and answer questions during the Conference.
  • The poster board dimensions are 96cm (37 inches) wide by 212cm (83 inches) high. Please ensure your printed poster will fit on the board given the above dimensions. Be sure to have your poster ID and Presentation Title in the first line of your poster.
  • Posting a copy of a paper is NOT appropriate and will be treated as a NO SHOW.
  • The Conference provides a sign designating the ID of the presentation on each board and push pins or tapes for displaying the poster.
  • Virtual poster presenters who cannot attend in person are required to submit an electronic poster for inclusion in the digital Conference Resource Center no later than May 13. Onsite poster presenters will also have the option to submit an electronic poster, but it will not be required.

4.No Show Policy

If any of the following applies, then the paper will be recorded as a NO SHOW and will not be published.

  • Digests that are listed in the program but are NOT presented in person or uploaded by the specified deadline (only for poster presenters not attending in-person).
  • Digests that are presented by an unregistered and/or unknowledgeable author or representative.
  • Digests that did not have a registered author or representative available and responsive to address questions.
5.Presentation Upload Guidelines

“Invitation to Upload” emails will be sent to all presenters in early April which contain your unique link to upload your presentation. Any questions about your digest or presentation should be sent to authorsupport@intermag.org.

What are the Submission Requirements?

All virtual poster presenters are REQUIRED to upload an electronic poster (no audio or video) as a PDF file no later than Monday, May 13, 2024. If no presentation is uploaded, it will be marked as a No Show. Please refer to electronic poster guidelines below.

In-person oral and poster presenters have the OPTION to upload a presentation no later than Monday, May 13, 2024. In-person presenters are NOT REQUIRED to upload a presentation.

  • In-person oral presenters may upload their presentation slides (no video or audio recordings) as a PowerPoint or PDF file.
  • In-person poster presenters may upload their electronic poster as a PDF file (no video or audio recordings).
Electronic Poster File Guidelines:
  • Top of the poster should clearly display: Abstract Title, Authors/Affiliation and Abstract Number
  • Vertical or landscape orientation
  • One (1) page
  • PDF file
  • Minimum 300 dpi
  • Do not embed video, animation, audio, or hyperlinks or QR codes
  • Save file name as Abstract ID and Author Last Name (example: AOA-01_Smith.pdf)
Oral Presentation File Guidelines:
  • PowerPoint or PDF file
  • No audio or video recordings – presentation slides only
How Do I Upload My Presentation?

An “Invitation to Upload Your Presentation” will be sent via email to each presenting author in early April. If a presenter has multiple presentations, an email will be sent for each presentation. The email will contain an “Invitation Code” and submission link which is unique for each presentation. It is recommended that you click on the link in your invitation email to upload your presentation.

When will the Presentations be Available?

All uploaded presentations will be posted in the INTERMAG 2024 Conference Resource Center and will be available to Conference attendees from May 20, 2024, through July 19, 2024. After that date, the presentations will be available to download for a fee, open to the general public. The link to access the INTERMAG 2024 Conference Resource Center will be available on our website at https://intermag2024.org/ on May 20, 2024.
